KAI is operated by Denovo Systems Limited, Kitwe, Zambia. This page describes what happens to the documents and information you give us. It is written to be read, not to be got past.
What we hold
Your account. The email address you sign in with, and a display name if you set one. If you sign in with Google we receive your email address and name from Google.
Your documents. The files you upload, and the values, page references and quotations extracted from them.
A record of use. Which extractions ran, when, how many pages they covered and what they cost in credits. This is what makes your bill explainable.
Where it is stored
In a Supabase project hosted on Amazon Web Services in London, United Kingdom. Documents are held in private storage: there are no public links to them, and a file is reached only through a short-lived signed link issued to someone who is already a member of the workspace it belongs to.
Separation between workspaces is enforced inside the database by row-level security, not merely by what the interface chooses to show. A query for another workspace’s documents returns nothing.
Who else sees a document
To read a document, KAI sends it to Google’s Gemini API. That is the only third party a document is sent to, and it is sent for the purpose of producing your result.
Denovo staff can access system records — job states, page counts, costs — for support and billing. Denovo staff are not members of your workspace and do not have access to your documents through the product.
KAI does not use your documents to train any model.
How long it is kept
Documents in a workspace are kept until you delete them. Deleting a document removes the file itself from storage, not just its entry in a list. Deleting a workspace removes its documents and files and closes access for everyone in it.
The public demo is different. A document uploaded to the demo on the front page, and everything read from it, are deleted automatically within 2 hours. That is a scheduled process that runs whether or not anyone is watching, not a promise to get round to it.
To stop the demo being abused we keep a one-way hash of the network address each demo run came from — the address itself is never stored, and the hash is combined with a secret so it cannot be worked backwards into an address. Those records are kept for 30 days and hold nothing else about you.
Records of extractions and charges are kept after the documents they refer to are gone, because they are what explain your account’s balance. They contain no document content.
Cookies and analytics
On the pages you can read without signing in — this one, the front page, pricing, and the rest of the public site — we would like to use Google Analytics to see which pages people arrive on and whether our advertising is working. It records the pages visited, roughly which country the visit came from, and what referred you, and it sets a cookie.
It does not load until you allow it. We ask on your first visit. If you decline, the script is never fetched and no analytics cookie is ever set — nothing is loaded and then held back. Your answer is kept on your own device, not in a cookie and not on our servers, and you can change it whenever you like from the “Cookies” link at the bottom of any public page.
There is no analytics inside a signed-in workspace. No Google Analytics runs on your dashboard, your projects, your sheets or your documents, so which files you open and when is not something Google is told. The only cookie in the signed-in product is the one that keeps you signed in, plus one remembering which workspace you were last looking at.
What you can ask for
You can see, correct and delete your documents from inside the product at any time. A correction never overwrites the original reading; both are kept, with a record of who changed it and when.
For anything the product does not let you do yourself — a copy of what we hold, or deletion of an account — write to us and we will do it.
